Welcome to Trackifi (“Service”, “we”, “us”, “our”). These Terms and Conditions (“Terms”) govern your use of our software-as-a-service (SaaS) platform for time tracking, project management, invoicing, and related functionalities (“Services”).
By accessing or using our Services, you agree to be bound by these Terms. If you do not agree, please do not use our Services.
1. Introduction & Acceptance
By registering for or using the Services, you confirm that you have read, understood, and accepted these Terms, including our Privacy Policy and Data Retention Policy.
We may update these Terms from time to time. Any modifications will be posted on this page with an updated effective date. Continued use of the Service constitutes acceptance of the revised Terms.
2. Definitions
- User: An individual or entity using the Service.
- Seat: A licensed user account with access to the Service.
- Free Trial: A 31-day period where users can access the Service for free, without requiring payment details.
- Freemium: A limited free version of the Service, restricted to 1 user and 5 projects.
- Paid Subscription: A monthly subscription at €15 per seat, available after the Free Trial period.
3. Subscription, Billing, and Payment
3.1 Free Trial and Freemium Options
- Free Trial: Users may access the full Service for 31 days, free of charge. No payment information is required. If no paid subscription is activated, the account switches to the Freemium version.
- Freemium: The free version allows 1 user and 5 projects.
3.2 Paid Subscription and Payment Terms
- Subscription: €15 per seat per month after the Free Trial.
- Billing Cycle: Payment is charged monthly on the subscription date (e.g., subscribing on the 15th means future payments occur on the 15th of each month).
- Prorated Charges: Additional seats added mid-cycle are charged a prorated fee.
- Cancellation: You may cancel at any time, but the cancellation takes effect at the end of the billing period. No refunds for partial months.
3.3 Payment Processing and Security
Payments are securely processed via Stripe. We do not store credit card details. See Stripe’s privacy policy for more information.
4. Account Registration & Security
You are responsible for maintaining the confidentiality of your login credentials. Notify us immediately if you suspect unauthorized account use.
5. Data Handling, Retention, & Deletion
5.1 Data Storage and Compliance
All data is stored within the European Union in compliance with GDPR and EU data protection laws.
5.2 Data We Collect
- Personal Data: Name, email, and profile information.
- Company Data: Organization details if registered as a company.
- Usage Data: Aggregated or anonymized data may be used for analytics purposes.
5.3 Data Retention & Deletion
Essential account information is retained for legal compliance, while user-generated content (e.g., time logs, invoices) is deleted within 30 days after account termination.
6. Intellectual Property
All rights to the Service, including its software, design, and content, belong to us or our licensors. You are granted a non-exclusive, non-transferable license to use the Service.
7. Disclaimers & Limitation of Liability
7.1 Service “As Is”
The Service is provided “as is” without warranties of any kind. We do not guarantee uninterrupted, error-free operation.
7.2 Limitation of Liability
We are not liable for indirect, incidental, or consequential damages. Our total liability will not exceed the amount paid for the Service in the last three months.
7.3 Indemnification
You agree to indemnify and hold us harmless from claims, losses, and liabilities arising from your use of the Service or violation of these Terms.
8. GDPR & Data Protection
We process data in compliance with GDPR. You have rights to access, correct, or delete your personal data. Please refer to our Privacy Policy and Data Processing Addendum (DPA) for details. The DPA, available at DPA is incorporated into and forms part of these Terms.
9. Governing Law & Dispute Resolution
These Terms (and any non‑contractual obligations) are governed by Finnish law.
The parties submit to the exclusive jurisdiction of the District Court of Helsinki, Finland, unless mandatory law grants you a different right.
10. Modifications to the Terms
We reserve the right to modify these Terms. Continued use after changes constitutes acceptance.
