Building the platform we always needed

When we were running our consulting business, we kept running into the same problems over and over again. Time tracking wasn't just about logging hours, it was the base for everything: invoicing customers, managing freelancers, staying on top of budgets.

At first, we tracked everything manually in Google Sheets (yeah, not ideal). As things grew, the problems got bigger: How to track hours properly across different projects? Most tools were either way too complex or way too simple. We didn't need a full ERP, we just needed solid time tracking to send invoices.

How to generate invoices from logged hours without wasting hours doing it? We used Procountor (a popular financial software in Finland) to send invoices. Every month, we had to manually gather hours from every person and project, check prices, and create invoices. It was time-consuming and prone to human errors.

The challenges we faced

How to manage freelancers?

Besides employees, we had freelancers (small one-person companies) working with us. They needed to invoice us each month, and everyone doing it their own way quickly turned into a mess. Nobody wanted to waste time fixing invoice mistakes — and neither did we.

How to manage project allocations?

We needed a clear view of who was working on what, how much capacity we had left, and when contracts were ending. Without it, it was too easy to miss opportunities or lose revenue.

How to help users understand their own targets?

People needed to know exactly how many hours they could or should log each month. If just 10 people miss one billable hour a month, that's €12,000* of lost revenue per year for nothing. On the other side, we didn't want anyone accidentally going over customer budgets either. *100€/hour * 10 people * 12 months

How to report to customers easily?

Customers are always asking: how many hours this month? How much budget used? Without a good system, someone always had to dig through data and manually write emails — another waste of time.

The solution we're building

The tools we had weren’t working. They were usually overloaded with features that looked good in a demo but slowed you down in practice or had nothing to do with our business.
